SDCEA Telephone Conference

Minutes

 

President Rose Stee called the meeting to order at 8:35 AM Central Time.

 

Roll call of those present: Rose Stee, Lanette Butler, Vera Boje, Sandra Namken, Lavonne Meyer, Cheryl Jacobs, Bill Keck, Sally Park-Hageman and L. J. Osborne.

 

Secretary minutes: Motion by Vera and second by Lavonne to accept the minutes as emailed. Motion Passed.

 

Treasurer report: Current balance in the bank is $1265.72.

 

Old Business:

 

Held discussion about community leader meetings. From the discussion several questions/issues arose. Attendance ranged from limited participation to great participation. Educators view this as an opportunity of promoting Extension to the county elected officials and state administration views this as an opportunity of promoting Extension to the state elected officials. Because of limited attendance at some, is there a more cost effective way of reaching these individuals. Who owns the meetings was another question, it was discussed that it was to be a cooperative agreement between educators and administration. Both groups need to discuss who the audience is for future meetings and explore more cost effective ways of reaching these individuals.

 

Rose conducted a discussion about the promotional items from the promotional committee. Several items will be available for display at spring conference. Motion by Lanette and second by Sandra to go with the SD interlock logo for the promo items. Motion passed. Suggestions were to offer a vest and secure a cost for imprinting the logo on personal items. Discussed the possibility of having coffee cups, but group decided to honor the committee’s recommendation of limiting the number of items offered for sale.

 

New Business:

 

Needs assessment discussion. One of the major items to be discovered by some groups was the breadth of items Extension is able to perform. Can or should Extension investigate ways of doing more statewide promotion? Who should handle this item was discussed with no consensus. Should it be the administration’s responsibility, Director’s advisory committee, SDCEA, etc. It was decided to let the discussion take place at spring conference. Discussed the need to have a statewide table top type promotional display for use at various farm shows, events, etc. The key question is “How should CES do marketing?”

 

Motion by Cheryl, second by Lavonne for SDCEA to sponsor six (6), $25.00 scholarships for state level 4-H speeches (same as in 2004). Motion passed.

 

Discussed annual get together. Cheryl presented the group with the committee report that they are working on having a BBQ at the spring conference. Specialists association needs to provide Cheryl with two names for this committee. Motion by Lavonne and second by Vera to spend $100.00 of the association’s money for door prizes for the BBQ in April during Spring Conference. First choice is to have the BBQ on April 26th at the Brookings County Extension office. Rose and Cheryl will work on this. Discussion about inviting administration, consensus was to invite administration, but they would need to pay for the meal. Bill was asked to work on a general marketing piece about the value of SDCEA for the BBQ for potential and current members.

 

Sally discussed the updates for the constitution and by-laws. It was decided to have the current Presidents to take the updated constitution and by-laws back to their respective groups and secure consensus about the changes and report back at the summer telephone conference.

 

Began discussion about the value of Spring Conference with its current format and the amount of time it takes educators out of the office. Are there better ways of getting this information to educators? Unable to complete discussion because of time, needed to turn over conference lines to another group.
